Terms & conditions.
Who you are booking with
Picasso Academy is operated by: PICASSO BARBERING ACADEMY LTD.
Registered in England and Wales. Company number: 15298965.
Registered office: 12 Sutherland Avenue, London, England, W9 2HQRead these terms with your booking confirmation and our Refund Policy. Nothing in these terms removes your statutory consumer rights. Read the Refund Policy
Booking & acceptance
These terms apply to course bookings with Picasso Academy. Before you commit, we provide the course description, agreed dates and attendance pattern, total price including any applicable taxes, what is included, payment deadlines and cancellation information. A booking contract is made when we send written acceptance. If we cannot accept a booking, we refund payments received for it.
Acceptance of these terms must be separate from optional marketing or photography permission. Where somebody else pays, we identify the learner and payer in the booking record; payment alone does not make the payer agree to undisclosed obligations on the learner’s behalf.
Age & under-18 learners
Learners must be at least 16. For learners aged 16 or 17, we require parent or guardian contact details and their written consent to enrolment and these terms, alongside the learner’s agreement. An adult aged 18 or over does not need parental permission. Signing as a guardian does not create an undisclosed personal guarantee of fees.
Deposits, full payment & funding
Where the course offers a deposit option, the deposit is £500 and counts towards the advertised total, not an additional fee. A deposit provisionally reserves a place in an agreed intake. The place is guaranteed once full payment is received and the booking confirmed. Courses advertised as full-payment only do not have a separate deposit option, and the first £500 of a full payment is not automatically reclassified as non-refundable.
Fees are payable by the invoice due date and before training starts. Do not assume finance or instalments are available. Any exception or third-party funding arrangement must be separately confirmed in writing, including amounts and deadlines; funds credited towards your course reduce the balance and are not charged twice.
If payment is late, we contact you and allow a reasonable opportunity to resolve it before suspending or cancelling a place. Any termination and fee retention must be fair and follow our refund policy; late payment does not automatically forfeit every payment.
Cancellation, refunds & transfers
Our Refund Policy forms part of these terms. It explains applicable 14-day cancellation rights, requests to start training early, fair deductions, the limited 25% short-notice provision and refund deadlines. These terms do not override it with a blanket “no refunds” rule. Course transfers require written agreement; they do not replace a refund you are legally entitled to unless you choose that option.
Course dates & attendance
Attend the days and times in your booking confirmation. Weekday diplomas normally run Monday to Thursday, weekend diplomas Saturday and Sunday, and the listed one-day workshops on Fridays; the agreed course confirmation takes priority. Part-time attendance days must be agreed in advance.
If flexible attendance is expressly agreed, submit requests for the following week by the preceding Friday. Requested days depend on capacity and our written confirmation. Tell us as soon as possible if you cannot attend, normally at least 24 hours before a confirmed session.
Missed sessions are not automatically rescheduled, credited or refunded. We consider the circumstances, agreed support and reasonable adjustments, and apply the refund policy fairly. Repeated lateness or non-attendance may lead to removal after two written warnings and an opportunity to respond, subject to the safety provisions below.
Any break or pause needs a written resumption plan. Rescheduled attendance should normally resume within two years of the original booked start date. We consider disability-related adjustments and exceptional circumstances before applying this limit; it does not remove statutory rights or justify keeping fees for training we cannot provide.
Changes or cancellation by the academy
We give as much notice as reasonably possible of necessary timetable changes. If a short closure affects training, we discuss replacement days, including an extension where suitable. We do not impose a significant change without offering a suitable alternative or the refund rights set out in our Refund Policy. Events outside our control do not automatically remove those rights.
Models, practical work & equipment
We make reasonable efforts to arrange suitable training models and deliver the practical training agreed for your course. You may suggest your own model, but staff must approve and arrange the appointment in advance. Do not bring an unbooked model or carry out practical work without the required supervision and consent.
Follow hygiene, safe tool handling and tutor instructions. Keep your workspace clean and pack away and safely store equipment after each training day. Any equipment or kit included in the price is identified before booking; additional purchases are not imposed without prior agreement.
Professional conduct & safety
Treat staff, learners, models and clients respectfully. Violence, threats, harassment, discrimination, theft and unsafe conduct are not accepted. Professional standards concern hygiene, safe clothing and respectful conduct, with appropriate religious, disability-related and other lawful adjustments; they are not arbitrary judgements about appearance.
For an immediate safety risk or serious misconduct we may stop practical work or suspend attendance at once. We investigate fairly, allow an opportunity to respond where appropriate and explain any removal decision in writing. Suspected criminal activity may be reported to the police. Removal does not automatically forfeit all fees; the refund policy and statutory rights still apply.
Do not attend training or represent the academy while impaired by alcohol or unlawful drugs. Do not consume them during training. If prescribed medication could affect safe practical work, discuss the relevant safety needs privately with staff; you need not disclose unrelated medical information.
Learning support, health & reasonable adjustments
Tell us about support or safety needs that may affect participation so we can discuss suitable arrangements. Share only information necessary for that purpose. We consider reasonable adjustments for disabled learners and do not charge for adjustments required by law. Sharing a diagnosis is not a blanket condition of enrolment.
We handle personal information under applicable data-protection law and our Privacy Policy. Health and other sensitive information requires additional safeguards and an appropriate legal basis. Access is limited to those who need it; disclosures may be necessary for safeguarding, safety or legal obligations, so confidentiality is not an unconditional promise of secrecy.
Photography & video
Promotional use of identifiable learner photographs or video needs separate, optional permission, not acceptance hidden in these terms. Refusing does not affect enrolment, fees or assessment. Where we rely on consent, you may withdraw it for future use by contacting us. For learners under 18, we apply age-appropriate consent and safeguarding arrangements.
If images are needed for assessment or teaching, we explain the purpose, lawful basis, access and retention arrangements separately. Learners must not photograph or record other people or publish client images without the necessary permission.
Assessment & certificates
Your course confirmation identifies the actual certificate or award, assessment requirements and any relevant awarding-body rules. Enrolment alone does not guarantee passing or employment. Certificates depend on meeting the stated learning and assessment requirements, with reasonable adjustments where applicable. We do not promise a qualification that is not expressly included in the course.
Certificate-release arrangements, including any requirement to settle undisputed agreed fees, must be disclosed before booking and comply with awarding-body rules and your legal rights. Conduct decisions are handled fairly and do not replace a proper assessment of your learning.
Belongings, damage & our responsibility
Keep personal belongings and equipment secure. We are responsible for reasonably foreseeable loss caused by our breach of contract or negligence; we do not automatically exclude responsibility for all belongings. You may be responsible for reasonable, evidenced damage you cause deliberately or negligently, taking account of fair wear and any responsibility on our part.
Nothing excludes liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any responsibility that cannot lawfully be excluded. Your statutory rights to services supplied with reasonable care and skill and to appropriate remedies remain intact.
Complaints & resolving concerns
Send a complaint to academy management using the contact details below, with your name, contact details, course and an explanation of the problem. We acknowledge complaints within five working days and aim to provide a substantive response within 14 calendar days. If more time is needed, we explain why and give an expected response date.
We seek a fair resolution and explain any available independent escalation or applicable alternative dispute-resolution arrangements if a complaint remains unresolved. You do not have to give up court rights to complain, and the complaints process does not suspend a statutory cancellation or refund deadline.
Changes to these terms & governing law
The version supplied when you book applies to that booking. Later website updates do not retrospectively change it. Material changes to an existing booking need agreement, unless a change is required by law, and do not remove cancellation or refund rights.
These terms are governed by the laws of England and Wales. If you are a consumer elsewhere in the UK, any mandatory protections of your home jurisdiction and any right to bring proceedings in your local courts are preserved.
